The information provided on our forms or website/s will be held on computer and is subject to the provisions of the Data Protection Act 1998. This information will be treated in the strictest confidence and will be processed in accordance with the Data Protection Act 1998. We (Phoenix Community Housing Association (Bellingham & Downham) Limited - 'The Association') will use the information as part of our Lettings Policy (to process your application), Housing Management Policies (to prevent or minimise anti-social behaviour or to prevent, minimise or recover rent arrears debts owed to the Association) or Housing Benefit queries (to prevent or detect fraud) or for such other lawful purposes including those within our aims or objectives and in compliance with our duties or functions as a Registered Social landlord .

You have the right to make a subject access request under the Data Protection Act 1998 for your personal data where held by the Association subject to your compliance with the provisions of the Act and any fee that may be applicable in making the subject access request. We use the information we collect about you to help us with understanding more about how our site is used and to be able to send you communications that may be of interest to you, either electronically or otherwise. When you are on the website and are asked for personal information, you are sharing that information with the Association alone, unless stated otherwise. For example when you log a repairs request we may use your data to process your repairs and pass to our employees, contractors or agents to inspect or carry out repairs.

When you leave us your data in an application form it may be used to process a job application or housing application (or such other lawful purposes for which the application was left electronically or manually) and where applicable with a partner company, residential social landlord, local government, government, auditors or other agencies. When you report a fraud or anti-social behavior we may use your data to process and investigate a fraud or anti-social behavior with other agencies (including those under and for purposes under) the Crime and Disorder Act 1998, the Anti-Social Behavior Acts, the Housing Acts and or other relevant legislation.

We may hold data relating to you, your family and your tenancy. We may also hold information about rent arrears, Housing Benefit and any repairs done to your home. We may use the data to manage rent arrears and help you with Housing Benefit claims. If you give us consent, we will use data on file to provide a reference should you apply for a mortgage or want to move to a private rented home. Information about you and your family will be used if you request a transfer, apply to buy your home or for a grant to buy a new home.

The Association will not disclose any of your personally identifiable information, except when we have your permission or under special circumstances, such as when we believe that the law requires it. When you are using our secure online payment pages you are going through to a partner company and the information you give, such as your credit card number and contact information, is provided so that the transaction can take place. If you indicated that you are interested in receiving regular information about the Association's activities, we will send you communications either electronically or by post. In addition, we may send you direct mail that we feel may be of interest to you.

The Association does not sell or rent user information to anyone. The accuracy of your information is important to us.
